What, When, Where – How to Process for Productivity

The foundation of a productive workday is processing—deciding what you will do with an item, when you’re going to do it, and where its home is. Process correctly, and your day will flow smoothly. Process incorrectly, and you’ll continually fall behind and feel unfocused.

In the recently released lynda.com Time Management Fundamentals program, I outline the simplest method in the world of how to process. Watch this video and learn in three minutes what took me years to refine for my coaching clients.


Action Steps:

  1. When processing, take one item from an approved gathering point and ask yourself these questions:
    • What is the next step?
    • When will it be done?
    • Where is its home?
  2. Practice the “What, When, Where” questions until you get in the habit of asking yourself these questions every single time you pick up an item during processing.
  3. Schedule a time and place to do processing and stick to it.
  4. Share your perspective or ask questions on this page.

  1. Processing is the act of deciding what the next step is to completing something, when you’re going to do it, and where its home is.
  2. An approved gathering point is one of six place you designated to put unprocessed items.
  3. Have a set schedule to do processing. This will help you process quickly and with minimal effort.
